Common Questions

Everything you need to know about SoloMatic AI — setup, pricing, security, and ownership.

Do I need technical skills to use SoloMatic?+
No. Marco handles all the technical setup, integration, and configuration. You go through a guided onboarding, connect your existing tools, and your AI agent is deployed for you. If you can use email and a web browser, you can use SoloMatic.
How long does setup take?+
Most agents are fully deployed within 1-2 weeks. This includes your onboarding, tool connections, workflow configuration, and initial optimization. You can start chatting with your agent immediately after signup. Self-serve Office plans are live same day.
How does SoloMatic's onboarding work?+
We start with a Revenue Leak Audit to understand where you're losing money. Then we design your AI workflows, connect your tools (CRM, phone, email, calendar), train your AI agents on your business, test everything, and go live. Post-launch, we monitor and optimize weekly.
What do I need to provide to get started?+
You'll need access to your business phone number (for call forwarding), your CRM or field service software (ServiceTitan, Housecall Pro, Jobber, etc.), your calendar system (Google Calendar, Calendly), and your email provider. We handle the rest.
Do you work with businesses outside the US?+
Yes — SoloMatic works with any English-speaking business. Our AI voice agents support multiple languages. Pricing is in USD. International customers may have slightly higher SMS and voice costs depending on region.
How much does SoloMatic cost?+
SoloMatic has three pricing tiers: Office Solo ($99/mo), Office Pro ($249/mo), and Office Suite ($499/mo) for self-service users. Managed AI Revenue Team plans start at $1,500 setup + $497/mo for Lite, up to $5,000 setup + $1,997/mo for Enterprise. A free tier is available for testing.
How much do the third-party tools cost?+
Third-party costs (AI models, SMS, CRM, etc.) are billed directly to you through your own accounts. Typical costs range from $150-$500/month depending on your tool selection and usage volume. Free AI model tiers are available.
Can I try SoloMatic before committing?+
Yes. We offer a free AI chat tier so you can experience the agent interaction before choosing a plan. You can also book a live demo to see exactly how SoloMatic would work for your business before you pay anything.
How does SoloMatic compare to hiring a full-time employee?+
SoloMatic's managed plans ($497-$1,997/mo) cost 70-90% less than a full-time employee ($3,500-$5,500/mo for a receptionist or admin). The AI works 24/7, never calls in sick, and handles multiple channels simultaneously — phone, text, email, social.
Can an AI voice agent really sound natural?+
Yes. SoloMatic's AI voice agents use natural language models that sound human, not robotic. They handle complex conversations, interruptions, and context switches. You can customize the voice, tone, and personality to match your brand.
What happens when someone calls after hours?+
SoloMatic answers the call immediately, 24/7. The AI handles the conversation — qualifies the lead, books appointments, answers FAQs — just like a human receptionist would during business hours. Emergency calls can be escalated to your on-call team.
How does missed call text-back work?+
When a call goes unanswered for 3-5 rings, SoloMatic sends an instant text message from your business number acknowledging the call and offering to book an appointment, request a callback, or get a quote. The text arrives within 10 seconds and includes a link to continue the conversation.
Can the AI transfer calls to a human?+
Yes. The AI detects when a caller needs a human (complex issue, upset customer, specific request) and can transfer the call directly to you or a team member. The AI provides a brief summary of what's been discussed so you don't have to repeat anything.
How does SoloMatic improve lead response time?+
SoloMatic responds to every lead within seconds — calls are answered immediately, web form submissions get instant follow-up texts, and email inquiries receive auto-replies. Industry data shows that responding within 5 minutes increases conversion rates by 9x.
Which CRMs does SoloMatic integrate with?+
SoloMatic integrates with ServiceTitan, Housecall Pro, Jobber, HubSpot, and any other CRM with API access. We also provide our own CRM functionality through the portal. Data entry happens automatically — calls, texts, and web leads are logged without manual input.
Can SoloMatic re-engage old leads?+
Yes. SoloMatic's database reactivation feature automatically reaches out to past customers and old leads who haven't been contacted in 90+ days. It uses personalized messages based on their previous interactions and service history. Typical reactivation rate is 8-15%.
Who owns the data and accounts?+
You do. Every API key, every CRM contact, every third-party account is yours. SoloMatic manages the intelligence layer — the agent configuration, workflows, and optimization. If you ever leave, your data and accounts stay with you.
Is my data secure?+
Yes. All data is encrypted in transit and at rest. Each client's data is isolated with row-level security. API keys are stored with additional encryption. We never share your data with third parties for marketing.
What happens if I cancel?+
You keep all your raw data, CRM contacts, and third-party accounts. You lose access to the SoloMatic portal, your AI agent dashboard, managed workflows, and proprietary prompts. Self-serve Office plans are month-to-month — cancel anytime. Managed plans have a 6-month minimum commitment.
Can I switch between AI models?+
Yes. Your portal has an AI Settings page where you can choose from free models (zero cost) or connect your own API keys for premium models like Claude, GPT-4o, or others. You can switch anytime.
Does SoloMatic charge markup on AI model costs?+
No. We pass through AI model costs at exactly what we pay. If you use your own API keys, you get billed directly by the provider. Our margins come from our platform and management fees, not from marking up AI tokens or SMS messages.
What's the difference between SoloMatic and GoHighLevel?+
GoHighLevel is a CRM and marketing platform you manage yourself. SoloMatic is a managed AI service — we build, connect, and operate your AI systems. GoHighLevel gives you tools; SoloMatic gives you an active AI team that works your leads daily.
Is SoloMatic better than an answering service?+
Yes for most businesses. An answering service takes messages — our AI answers calls, qualifies leads, books appointments, updates your CRM, and sends follow-ups. AI responds instantly, costs 60-80% less, and works 24/7 without breaks or shift changes.
How does SoloMatic compare to hiring an in-house marketing person?+
A marketing person handles one area (social media, email, or ads). SoloMatic's AI Revenue Team handles calls, lead follow-up, CRM management, email campaigns, social publishing, and call analysis — the work of 2-3 staff roles for a fraction of the cost of one employee.
Who is SoloMatic for?+
Established businesses that already generate leads — phone calls, web forms, texts — and want to capture more of that demand without adding headcount. Best fit: 5-50 employees, using field-service software (ServiceTitan, Housecall Pro, Jobber) or a CRM, with 50+ leads/month and services valued at $200+/ticket.
Who is SoloMatic NOT for?+
Pre-revenue startups, businesses with almost no lead volume, solo operators who handle every call personally and don't want automation, or companies looking for a cheap standalone chatbot. If you don't have leads you're already paying to generate, we're not the right fit yet.
